Complete guide to using the CV-Octopus AI-powered CV Builder.

1. Getting Started

Welcome to the CV-Octopus CV Builder. This tool allows you to create professional, ATS-optimized resumes using AI-powered technology. You can upload an existing CV and have it automatically parsed, or build one from scratch.

Step 1: Log in to your account and navigate to Dashboard → My Resumes.
Step 2: Click to start.
Step 3: Choose a template design.
Step 4: Upload your existing CV (PDF) or skip to build manually.
Step 5: Wait for AI analysis to complete, then review and edit your resume.
Tip: You can create multiple resumes for different job applications. Each resume is saved separately and can be edited at any time.

2. Choosing a Template

Your template sets the visual style and layout of your resume. Each template is professionally designed and ATS-friendly.

Tip: All are free of charge.

3. Uploading Your CV

After selecting a template, you'll be asked to upload your existing CV. The system supports:

Step 1: Click the upload area or drag and drop your file.
Step 2: Wait for the file to upload (progress bar shows status).
Step 3: Once uploaded, click to start AI analysis.
Note: Maximum file size is 10MB. Make sure your file is not password-protected.

4. AI Analysis

After uploading, our AI engine automatically analyzes your CV to extract and organize your information.

While the AI is working, you'll see an amber banner with a spinning icon indicating "Analyzing your resume with AI…"

Tip: If analysis takes longer than 2 minutes, try refreshing the page. Your uploaded data is saved and the analysis will continue.

5. Editing Your Resume

Once AI analysis is complete, you can edit every section of your resume. The edit screen shows your resume preview — click any section to open its editor.

Important: Sections that have no data will not appear in the downloaded PDF. If a section is empty on the preview, it will be skipped entirely when generating the PDF file. Make sure to fill in only the sections you want to include.
Tip: Use the "+" button (e.g. "+ Add Experience") to add new entries to repeatable sections. Use the trash icon to remove entries you no longer need.

6. File Name, Job Title & Company

At the top of the edit page, you'll find three quick-edit fields visible above the resume preview:

Tip: Setting a meaningful file name (e.g. "John_Doe_Software_Engineer_2025") helps recruiters identify your resume. The job title and company fields are used when tailoring your resume for a specific role.

7. Tailoring for a Job

The "Tailor for a Job" feature uses AI to customize your resume for a specific job description. This increases your chances of getting past ATS filters and catching a recruiter's attention.

Step 1: On the edit page, click .
Step 2: Enter the Job Title and Company Name.
Step 3: Paste the Job Description in the text area.
Step 4: Select CV Enhancement Options:
  • Reframe experience to match target role seniority
  • Upgrade wording for leadership, ownership, and impact
  • Emphasize relevant responsibilities
  • Merge or restructure bullet points
Step 5: Click (costs $0.20 per tailor).
Step 6: The system creates a new tailored resume copy — the original is preserved.
Tip: Always review the tailored result. AI suggestions are a starting point — you can further refine any section manually.

8. ATS Score & Match Percentage

Each resume in your dashboard shows a match percentage score. This indicates how well your resume matches a target job description.

Note: ATS scores are estimates based on keyword matching and semantic analysis. They should be used as a guide, not a guarantee.

9. Downloading Your CV

You can download your resume as a PDF file. Downloads require available credits.

Step 1: On the edit page, click in the action bar.
Step 2: If you have sufficient balance, the PDF generates and downloads automatically.
Step 3: If your balance is low, you'll be prompted to top up credits before downloading.

Tip: After purchasing a resume download, keep the original PDF — you can re-download it anytime within the valid period without extra charges.

10. Credits & Pricing

The CV Builder uses a pay-per-action credit system. Credits are deducted only when you use a feature.

11. Available Templates

We offer multiple professionally designed templates. Each template has a unique layout while maintaining ATS compatibility. All templates are completely free of charge.

All templates support multi-color themes — choose your preferred color to match your style.

12. Frequently Asked Questions

Can I create multiple resumes?

Yes, you can create and manage multiple resumes. Each resume has its own template, content, and job target. They are all listed in your My Resumes dashboard.

How do I duplicate a resume?

From the dashboard, click on any resume card. Enter a new file name and a copy is created instantly — useful for creating variations for different job applications.

Can I delete a resume?

Yes. Use the delete option from the dashboard to remove a resume permanently.

What file formats are supported for upload?

We support PDF (.pdf) files.

How long does AI analysis take?

Typically 30–60 seconds. If it takes longer, try refreshing the page.

Is my data secure?

Yes. Your resume data is encrypted in transit and at rest. We do not share your personal information with third parties. See our Privacy Policy for details.
